Editorial policy

This page provides guidance on how we disseminate and how to submit ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûstaff related news, in particular for inclusion in The Week @UCL, the weekly all staff e-newsletter.

The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûaims to keep staff informed of key information including:

  • internal announcements
  • news
  • events
  • training opportunities
  • research and volunteering opportunities.

The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûis compiled and managed by the Internal Communications team. We welcome story ideas from across the university. Given the volume of activity and achievement by ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûstaff and students, this brief policy outlines how we select material for The Week @UCL.

Criteria for inclusion

The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûis the main way in which we communicate must-know information to the ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûstaff body. By providing functional information, which is in the legitimate interests of all staff, ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûis processing staff data fairly.

As The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûis a functional email and not a marketing e-newsletter, we cannot include marketing content.

For content to be included in The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûand on the staff news area of the ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûwebsite it needs to:

  • be clearly relevant to the majority of ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûadministrative and academic staff ("must-know" rather than "nice to know")
  • be checked and approved with relevant colleagues
  • be written in plain English (see guidance in the ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûhouse style on the )
  • ideally include images which enhance the story
  • include relevant contextual links.

For an event to be included in The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûit needs to:

  • have a confirmed date and time, venue, title, synopsis (guideline 250 words), speaker (if appropriate) and booking contact details
  • be an event that is organised by a ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûdepartment and takes place on the ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûcampus
  • be an event which is organised by ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûwith ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûspeakers but takes place at a non-ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûvenue
  • be relevant to a significant proportion of ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûadministrative and academic staff.

Editorial process

Please . Please note that we do not attach PDFs or documents to the newsletter - we need a title and short description, with a link to the relevant website.

If there are any queries with your submission, the Internal Communications team will work with you collaboratively to arrive at a final version, but where necessary, the Internal Communications team and the Communications Manager have the final decision on format and wording.

For content to be reviewed for inclusion in The Week @UCL, please send it by midday on Wednesday each week at the latest.

Other channels of publicity

The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûis for all staff. Given the volume of contributions that we receive, we have to make decisions about which stories and events are most relevant for a wide audience. If we decide not to pursue a story for The Week@UCL, there are several other channels you can use to publicise it internally.

Listings for upcoming events should be submitted to the You can submit these for inclusion through the ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûEvents Calendar submission form. Events listings are managed by the ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûCorporate Events Team.

The Week @ÐÂÏã¸ÛÁùºÏ²Ê¿ª½±½á¹ûwill not publicise news or announcements for specialist audience groups.

If you need advice in this area, please contact internalcommunications [at] ucl.ac.uk, for recommendations on a suitable e-mail group or appropriate internal communications channel within a Faculty/School/Department.

If you would like to have a record of a specialist conference you should contact your departmental or divisional newsletter (if available) about publicising this. If a conference is of genuine relevance to a wider audience or high profile, we may choose to cover it in one of the internal communications channels listed above.
